Send invitations and resolve delivery problems
Understand preview mode, invitation batches, provider acceptance and the difference between a failed and an uncertain delivery.
Check the invitation before launch
Varde uses a fixed branded training invitation and a configured sender. You do not need to give Varde access to employee mailboxes or disable Microsoft 365 protections. The operator manages sender authentication and the mail provider connection.
- Confirm the company's exact approved recipient domains and the participants' active status and participation approval.
- Check the assignment audience, language and deadline. With preview mode confirmed, launch the agreed test assignment to create its preview, then review the invitation in Settings before requesting live delivery. Preview mode sends no email.
- Agree a small initial delivery with the operator and confirm the real recipient can open the private lesson. A preview is not a delivered email.
Launch and continue batches
The open Training page processes at most five invitations per request. Leave it open while the batch sequence runs. Pause after a batch if you need to stop; if you close the page, use Resume later for invitations that have not started.
Launch does not silently replay confirmed deliveries. Explicit retry actions handle definite failures or existing previews after live delivery is enabled. Only active, approved participants on permitted domains are eligible.
Understand the delivery state
- Preview: the invitation was rendered locally for review; no provider delivery occurred.
- Accepted by provider: the provider accepted the request. Check the recipient or provider evidence before claiming inbox delivery.
- Failed: a definite rejection was recorded. Correct the cause with the operator before an explicit retry.
- Pending or uncertain: the request may have reached the provider even though Varde could not confirm the result. These records are excluded from retries to avoid duplicate invitations.
If the invitation is missing
- Check the intended address, delivery time, assignment and recorded state in Varde. A draft or preview cannot have reached an inbox.
- Ask the recipient to check junk and the normal organisational quarantine process. Have the mail administrator use normal message tracing where available.
- Give the operator the assignment name, recipient address through the approved support channel, time and visible status. Do not send passwords, provider tokens or private learner URLs in screenshots.
- Keep normal filtering and protection policies in place. Resolve sender authentication or specific delivery failures through the mail administrator and operator; Varde does not require broad bypass rules.
If the lesson link no longer works
New undated links last thirty days. For dated assignments, new access lasts until the later of thirty days after issue or seven days after the due date. Existing invitations retain their original expiry. Inactive or withdrawn participants and removed records can also make access unavailable.
Check participation status and the original assignment before taking action. An expired link requires a new assignment; retrying the old email does not renew it. Never post learner links in a shared channel or paste them into a public support ticket.
